Privacy Policy

This Privacy Policy explains how HousingHUB by Kliri (the “Service”), operated by EasyVirtualFair LLC (“we”, “us”), processes personal data. By using the Service you accept this Policy and our Terms of Use.

1. Who is the data controller

For students and landlords who use HousingHUB, the data controller is EasyVirtualFair LLC, Wayne, Pennsylvania, United States. When a participating university (a “University”) accesses institution-level data (its own listings, its own users, its own analytics), the University acts as an independent controller for the purpose of its own internal review and student-services activities.

2. What we collect

• Account data: email, password (hashed and stored by our authentication provider), full name, role (student / landlord / housing-office staff), university affiliation.
• Listing data (landlords only): address, photos, price indication, availability, written description, rental-terms documents you choose to upload.
• Messages: the content of conversations you exchange on the Service.
• Technical data: IP address, browser user-agent, basic device information, pages visited, timestamps. This is used for security, abuse prevention and product analytics.
• Optional profile data: phone number, profile photo, custom fields configured by your University (e.g. academic year). Providing this is voluntary.

We do not intentionally collect government IDs, passport numbers, social-security numbers, financial-account numbers, credit-card numbers, religion, ethnicity, sexual orientation, health data, or any other special-category data. Do not upload that kind of information into listings or messages.

3. What we do NOT do

• We do not sell your personal data.
• We do not rent your personal data to advertisers.
• We do not verify or vet users, landlords, listings, payments or contracts (see our Terms of Use).
• We do not process payments, deposits, rents, fees or any other financial transaction between students and landlords.

4. How we use your data

• To operate the Service: authentication, listings, messaging.
• To let your University's housing office moderate listings, approve users, and answer student questions.
• To send transactional emails (account confirmation, password reset, message notifications, broadcasts you opted into) from housinghub@kliri.com.
• To protect the Service against abuse, fraud, scraping, harassment and other unlawful or harmful behavior.
• To improve the Service through aggregated, de-identified analytics.
• To comply with legal obligations and to respond to lawful requests by public authorities.

5. Legal bases (EU/UK users)

Where the EU GDPR or UK GDPR applies to you, we rely on the following legal bases: (a) performance of a contract for the core platform functions you request (account, listings, messaging); (b) legitimate interest for security, abuse prevention, fraud prevention, basic analytics, and communication about the Service; (c) consent for optional features such as email notifications you actively opt into; (d) legal obligation where applicable. You may withdraw consent at any time.

6. Who can see your data

• The other party in a conversation sees the messages you write, your display name, and any photo or profile information you have made visible.
• Your University's housing office sees your account, your listings (if landlord) or your search activity summary (if student), and any conversation in which they participate.
• EasyVirtualFair LLC staff (super-admin role) may access data when strictly necessary for support, security investigations, or platform operations. Access is logged.
• Service providers (processors) hosting infrastructure (Vercel, Supabase, AWS), transactional email (Amazon SES) and mapping (Google Maps). They process data on our behalf under contractual obligations.
• Authorities when required by law (subpoena, court order, lawful request).

7. International transfers

Our infrastructure providers are located primarily in the United States. If you are located in the European Union, United Kingdom or another jurisdiction with data-export rules, your data may be transferred outside your country under standard contractual clauses or equivalent safeguards offered by those providers.

8. Retention

We keep your account data for as long as your account is active. After deletion or 24 months of inactivity, we anonymize or delete personal data, except where retention is required to comply with legal obligations, resolve disputes, prevent fraud or enforce our Terms. Messages may be retained beyond account deletion in pseudonymized form to preserve the integrity of the other party's record of the conversation.

9. Your rights

Depending on the law that applies to you, you may have the right to access, correct, delete, restrict, port, or object to the processing of your personal data, and to withdraw any consent you have given. To exercise any of these rights write to housinghub@kliri.com. EU / UK users also have the right to lodge a complaint with their local data-protection authority. Students and landlords located in California may have additional rights under the CCPA/CPRA, including the right not to be discriminated against for exercising them.

10. Security

We use industry-standard practices: HTTPS everywhere, encrypted password storage, row-level security in the database, private file buckets with short-lived signed URLs, security headers (CSP, HSTS, X-Frame-Options), rate-limiting on administrative login, and audit logging of administrative actions. No system is perfectly secure; report suspected vulnerabilities to housinghub@kliri.com.

11. Children

The Service is intended for users 18 years old or older. We do not knowingly collect data from children under 13 (or under the applicable digital-consent age in your jurisdiction). If you believe we have collected such data, contact us and we will delete it.

12. Cookies

We use a minimal set of strictly-necessary cookies for authentication and security (session cookies, CSRF protection). We do not use third-party advertising cookies or cross-site tracking pixels.

13. Changes

We may update this Policy. When we do, we revise the “Last updated” date at the top of the page and, for material changes, we will use reasonable means to notify users.
